Engagement Policy

How we handle conflicts of interest.

iHart Services attends pre-bid events in an information-gathering capacity only. We do not attend pre-bids for solicitations where iHart has registered intent to bid. All engagements require a signed engagement letter that defines scope, deliverables, and information rights. Payment is due in advance for first-time clients. We retain the right to use publicly-disclosed information from any pre-bid we attend for general market intelligence purposes; client-specific notes, photos, and Q&A are the client’s property.

Process

How it works

Five steps from request to deliverable. We handle conflict-check and engagement letter inside business hours.

  1. 01

    Send the request

Send us the solicitation number, pre-bid date and location, and your preferred package. Or use the form below.

  2. 02

    Conflict-check & engagement letter

We confirm availability and conflict-check the solicitation against iHart’s own pursuit pipeline. If clear, we issue a one-page engagement letter.

  3. 03

    Engagement countersigned, payment received

Payment received, engagement letter countersigned. We attend the pre-bid on the scheduled date.

  4. 04

    Deliverables emailed

Deliverables emailed per your selected package timeline.

  5. 05

    Optional: debrief call

30-minute debrief call (included with Premium, available a-la-carte at $200).

Why iHart Services for this work?

A real prime contractor — not a freelance bid runner.

  • We’re a federally-certified prime contractor

Not a freelance bid runner — a real business with SAM registration, insurance, and a track record of attending procurement events as a participant ourselves.

  • We know how the room works

Capturing the right Q&A, identifying the bidder list, reading the signals that matter — these come from being in pre-bids on our own behalf, not just on yours.

  • Clear conflict policy

We don’t attend pre-bids where we’re bidding. Written into every engagement letter.

  • One point of contact

Daphne handles intake. You don’t get bounced between schedulers and field reps.
